Privacy Policy

This policy explains what personal information myhoamsph handles, why, and the choices you have. We follow the Data Privacy Act of 2012 (Republic Act No. 10173) and the rules of the National Privacy Commission.

Who is responsible for your information

Your homeowners' association (HOA) decides what information it keeps about its residents and why. Under the Data Privacy Act, your HOA is the personal information controller. myhoamsph provides the portal your HOA uses and acts as its personal information processor: we store and process that information only to run the service for your HOA. For questions about how your HOA uses your records, contact your board first.

What we collect

  • Account details — your name, email address, mobile number if you give it, and a securely hashed password.
  • Household details — your community, your block and lot or unit, and your role (resident, board member, or admin).
  • Dues and payment records — bills, balances, payment amounts, dates, methods, reference numbers, and any proof of payment you upload. myhoamsph does not collect or store card numbers; you pay your HOA directly through the channels it accepts.
  • What you post — maintenance requests, photos and files you attach, reservations, and messages to your board.
  • Registration requests — the name, email, lot, and note you send when asking to join a community.
  • Technical and activity data — IP address, browser type, and a log of account and board actions (for example, sign-ins and payment confirmations), kept for security and accountability.

How we use it

  • To run the portal: show your balance, record payments, route requests, and publish your board's announcements.
  • To send service emails such as password resets, registration updates, and notices from your board.
  • To keep accounts secure, prevent abuse, and investigate problems.
  • To meet legal obligations and respond to lawful requests.

We do not sell personal information, show advertising, or use your information to profile you for marketing.

Who can see it

  • You can see your own account, household, payments, and requests.
  • Your HOA's board and admins can see the records of households in their community, as they need to manage dues and requests.
  • Other residents see only what your board publishes, such as announcements and shared documents — never your balance or payments.
  • myhoamsph staff access community data only to support your HOA, fix problems, or keep the service secure.

Cookies

We use only the cookies needed to keep you signed in and to protect forms from forgery. We do not use advertising or third-party tracking cookies.

How long we keep it

We keep your information for as long as your HOA uses myhoamsph and needs the records, including financial records it must keep by law. When an account or community is closed, we delete or anonymize its data within 90 days, except where we must keep it longer by law. Backup copies expire on a rolling schedule after that.

How we protect it

We use encryption in transit, hashed passwords, per-community separation of records, role-based access, and activity logs. See our Security page for details. No system is perfectly secure; if a breach affects your personal information, we will notify your HOA, you, and the National Privacy Commission as the law requires.

Your rights

Under the Data Privacy Act, you have the right to:

  • be informed about how your personal information is processed;
  • access your information and get a copy of it;
  • correct information that is inaccurate or incomplete;
  • object to processing, or ask for your information to be erased or blocked;
  • data portability; and
  • file a complaint with the National Privacy Commission, and to damages where the law allows.

You can update most of your details on your account page. For anything else, contact your HOA or email [email protected]. We may need to confirm your identity, and some records — such as payments your HOA must keep — may not be deletable while your HOA still needs them.

Children

myhoamsph accounts are for adult homeowners, tenants, and HOA officers. We do not knowingly create accounts for anyone under 18.

Changes to this policy

If we make significant changes, we will post the new version here with a new date and tell your HOA before the change takes effect.
